General payment information

When you receive an offer you will be given access to a user area of our website where you can make online payments and view your account details, payment schedule, and Licence Agreement.

We encourage you to use our secure online payment system. The service is provided by PayPoint, one of the UK's three major online payment service providers.

You can use most credit and debit cards to pay your booking fee and accommodation fees instalments.

If neither you nor your family and friends have access to the internet, and you are unable to use an internet cafe, we do accept payment of the booking fee either by banker's draft or traveller's cheques, both of which must be in pounds sterling. Unfortunately we are unable to accept payment by cash, personal cheques, bank transfer, or American Express.

Banker's drafts should be made payable to 'Sanctuary Management Services' and have your name and CRN reference number written clearly on the back. Drafts may be delivered in person to your residence office or sent by recorded delivery. Traveller's cheques may only be used in person at the residence office and should be signed in the presence of a member of staff.

Booking Fee

All students are required to pay a booking fee to accept a place in our residences. The Booking Fee includes a GBP 75.00 non-refundable Administration Fee and a GBP 325.00 Reservation Fee. The Reservation Fee is refundable if you cancel your acceptance of our offer within the cancellation period. When you move in the Reservation Fee is credited towards your final instalment of licence fee.

If you are paying the booking fee by Banker's Draft, you may deliver your payment in person or send it by recorded delivery to the residence office. You will need to include a signed letter stating that you have read and accept the terms and conditions of our Licence Agreement.

If your credit or debit card does not work on our online system you may call the residence office to make a manual payment over the telephone. To make a manual payment in this way you do need to write or email the residence office to advise that you have read and accept the terms and conditions of our Licence Agreement.

Accommodation fee instalments

In addition to the Booking Fee, a first instalment of your accommodation fees must be received by us before you move into the residence.

After accepting your place you can pay your accommodation fees at any time by logging into your account on the website. The accommodation fees are divided into three instalments from the start of the academic year, with the number of instalments reducing for students who move in later on during the year.

Subsequent accommodation fee instalments are normally due around the start of the academic terms. Students who have a 50 or 51-week licence pay three larger instalments to cover the whole year.

Other fees and charges

Damage to your room or other parts of the residence will be charged at the cost incurred by us to repair the damage. See our Licence Agreement for more details on fees and charges.

Questions

Will I be refunded my Reservation Fee if I leave the residence early?

The Reservation Fee is credit towards your final instalment of licence fee and therefore counts as a licence fee payment after you have moved into the residence. Under the terms of our Licence Agreement you remain responsible for the payment of licence fee until the end date of your Licence. However, if you wish to leave early we will try and find a replacement for you but you will have to pay fees until the replacing student has moved in. In this case any overpayment including the Reservation Fee would be refunded.

What if I cannot pay until I receive my student loan?

All students need to pay the Booking Fee before the offer deadline. UK students in receipt of a loan from Student Finance England (or the agencies serving Scotland, Wales or Northern Ireland) may request to make a part-payment of licence fee equivalent to four weeks of their first instalment. This must be paid before the start of the licence and followed by payment of the remainder of the first instalment within 4 weeks. To arrange a delayed payment you will need to send your request by email to our accommodation office, giving your student loan customer reference number.
